Talent Pools

Named groups of contacts, optionally assessed against one job opening.

A talent pool is a named group of contacts, such as a longlist for a role or a shortlist of people in one city. Each contact in it is a member. Talent pools are listed under Talent Pools. A talent pool opens on Members, with Details and Danger Zone alongside it. A member opens on Details, with Profile, Messages, Phone Calls and Files alongside it.

A talent pool can be tied to one job opening. Every member of that talent pool is then assessed against the job's criteria. A talent pool without a job opening is a plain list, and nobody in it is assessed.

The same person can be a member of several talent pools. Everything you edit on a member is saved on the contact behind them, so a correction shows everywhere that person appears, labels included.

Relations

  • Contact: the person a member is. Every field you edit belongs to them.
  • Job opening: a talent pool has at most one. You can change it on the talent pool's Details tab.
  • AI assessment: one per person per job opening, read on the member's Profile tab.
  • Application: what a member becomes when you convert them.
  • Label: a talent pool has labels of its own, attached with + Label in its header. Members show the labels of the contact behind them instead.

Creating a talent pool

To start a new group of contacts, create a talent pool.

  1. Open Talent Pools.
  2. Select New Talent Pool.
  3. Fill in the Name, and a Description if you like.
  4. Pick a Job Opening to have every member assessed against it, or leave it on No job opening.
  5. Select Create Talent Pool.

The talent pool opens, empty and ready for members.

A job opening's own talent pools are listed on its Talent Pools tab, where New Talent Pool creates one with the job already picked.

Finding a talent pool

The Talent Pools list shows the Name, the Job Opening with its Department and Location, the number of Members, the Labels and when it was Updated. Search by name or description, and filter on Job Opening, Department, Location or Label. Pick No labels to find the talent pools nobody has labelled yet.

Department and location come from the talent pool's job opening. A talent pool without a job opening never matches a department or location you pick, but it stays in the list when you exclude one. To find those talent pools, pick No job opening in the Job Opening filter. Once you pick a department or location, the Job Opening filter only offers the jobs that fit it.

Adding members

There are three ways to add people to a talent pool.

  • Source Profiles in the talent pool's header searches for people you don't hold yet. See Source Profiles.
  • Add Contacts in the talent pool's header opens a page with the contacts you already hold that are not in the pool yet. Select them and choose Add to Talent Pool. Added contacts leave the list, so you can keep going.
  • Add to Talent Pool on a contact, or in the selection bar of the contacts list, adds those contacts to a talent pool you pick.

People who are already a member are skipped. On a talent pool with a job opening, each new member is assessed automatically.

The contacts list shows how many talent pools each contact is in, and its Talent Pool filter narrows the list to the members of one or more pools.

Filtering the members

The list shows the Name, the Assessment, the Labels, the current Title and Company, the Salary, the Location, and the Quality and Transition signals. Select Columns to add Telecommute, Activity, Email, Phone or Added.

  1. Open the talent pool.
  2. Search by name, email or phone.
  3. Filter on Match, Label, Quality, Transition, Telecommute or Activity.
  4. Sort by Score, Added at or Updated at.
  5. Select a member to open their record.

A talent pool with a job opening opens with the best fit first. Members that have not been assessed yet sort last.

On a talent pool without a job opening there is no Assessment column, no Match filter and no Score sort.

Exporting members

To take a list of members elsewhere, export them as a CSV file.

  1. Open the talent pool.
  2. Tick the members you want, or tick the header to select them all.
  3. Select Export in the selection bar and confirm.

The file holds the contacts behind the members.

Converting to application

To move a member into the pipeline for the talent pool's job opening, convert them to an application. The application gets a stage and an assignee.

  1. Open the member.
  2. Select Convert in the header.
  3. Confirm on Convert to application.

Applyfin creates the application and opens it.

Convert only shows on a talent pool with a job opening.

Removing members

To take people out of a talent pool without losing them, remove them.

  1. Open the talent pool.
  2. Tick the members you want.
  3. Select Remove in the selection bar.
  4. Confirm.

To remove one member from their own record, open them and select Remove from Talent Pool. On a pool with a job, it sits behind the arrow next to Create Application in the header. On a pool without one, it is the Remove from Pool button. It is also on the Danger Zone tab. The contact, their profile and their assessments stay.

Anonymize Contact on the same tab is a different thing. It permanently removes all personal data from the contact behind the member, and it cannot be undone.

Editing a talent pool

To change the name, the description or the job opening, edit the talent pool.

  1. Open the talent pool.
  2. Select Details.
  3. Change what you need.
  4. Select Save Details.
Changing the job opening changes what the members are assessed against. The list starts over, sorted for the new job. Pick No job opening to make the talent pool a plain list.

Deleting a talent pool

  1. Open the talent pool.
  2. Select Danger Zone.
  3. Select Delete Talent Pool.
  4. Type the talent pool's name, confirm the action and select Delete.

Deleting removes the talent pool and its members. The contacts and their assessments stay.

Anonymizing a talent pool

To remove the personal data of everyone in a talent pool at once, anonymize it. Only owners, admins and HR managers see this option.

  1. Open the talent pool.
  2. Select Danger Zone.
  3. Select Anonymize Members and confirm.

Members who have an application are skipped. A message tells you how many members are being anonymized and how many were skipped. The work runs in the background, so the member list can take a moment to catch up.

Anonymizing removes the contact's personal data everywhere, including in other talent pools. It cannot be undone.

The Messages tab

A member has the same Messages, Phone Calls and Files tabs as the contact behind them, with the same history. Reading them is covered under The Messages tab.
